Polish debtor not paying? What to do next
An overdue invoice from a Polish customer does not have to become a write-off. What matters is acting quickly and in a way the debtor takes seriously.
Typical excuses
We hear the same explanations again and again: the invoice did not arrive, the goods or service had defects, the payment is waiting for documents, the accounting department is on holiday or the company is waiting for its own customer to pay. Some are true, many are a way of buying time.
What to do in the first days
Confirm in writing that the invoice was delivered and ask the debtor to state any objections concretely. Collect the evidence: the contract or order, proof of delivery, correspondence. Then set a final payment deadline in writing.
Warning signs
Be careful if the debtor changes contact persons, stops answering the phone, asks for further deliveries before paying the old ones or suddenly changes its registered office. In such cases it is worth checking the Polish registers and acting without delay.
When to hand the case over
If the debtor has not paid after your final reminder, a professional debt collector in Poland is usually the most effective next step. We contact the debtor in Polish, negotiate, apply sanctions and, with your consent, take the case to court.
Frequently asked questions
Is it worth collecting a small invoice from Poland?
Often yes. We first analyse the debtor free of charge and tell you honestly whether recovery is realistic. You pay a commission only on the amount actually recovered.
The debtor claims the goods were defective. What now?
Ask for a written, specific description of the defects and check whether they were reported in time and in line with the contract. A general statement that something was wrong is not a reason to withhold the entire payment.
